Medical Services Manager

Position Summary

The Medical Services Manager oversees the day-to-day clinical operations of OnPoint NYC’s Health Hub Clinics in East Harlem and Washington Heights, as well as the Mobile Health Unit serving the Bronx. Working in partnership with Montefiore Medical Center, the Medical Services
Manager ensures the effective delivery of comprehensive, low-barrier medical services, including medication-assisted treatment, HIV and HCV testing and treatment, STI services, PrEP and PEP, overdose prevention, urgent and wound care, general primary care, and benefits navigation. This role is responsible for ensuring clinics are well-staffed, organized, clean, and fully stocked, while supporting efficient, participant-centered service delivery. The Medical Services Manager also coordinates health promotion events and group programming and collaborates closely with the Director of Medical Services, Medical Director, and Montefiore’s HCV Program Director to ensure high-quality, integrated clinical care across all sites.

Biweekly Rate: $2,586.15 – $2,692.31
Annual Salary: $67,500 – $70,000

Responsibilities

  • Works in partnership with the Director of Medical Services to ensure all the facets of OnPoint NYC’s clinical sites are operating smoothly, delivering culturally competent and impactful care.
  • Works to hone workflows between OnPoint’s medical sites clinic; works with Montefiore HCV Program Director to ensure lab infrastructure and Montefiore clinic equipment is functioning.
  • Organize quarterly department meetings with all three clinic sites to ensure fidelity to program objectives across sites, provide timely updates to changes to workflows and programs, and troubleshoot challenges through collaboration and innovation.
  • Organize monthly site-specific meetings to ensure open communication and a planful approach to achieving program objectives.
  • Visits each clinic site regularly to assess service provision and address challenges in a timely manner.
  • Oversees health promotion program implementation – including coordination of groups and events hosted in the clinical spaces.
  • Responsible for keeping inventory of all clinic supplies and requesting supplies for clinical sites.
  • Act as liaison with Montefiore to request supplies.
  • Work with Director of Medical Services to submit purchase requests for needed supplies, ensuring that supply inventory is maintained.
  • Ensures all medical equipment is functioning.
  • Assist RNs and CMAs to prep labs for transport, pick-up, and delivery to Montefiore; primary liaison with labs for pick-up of bloodwork and urine specimens.
  • Assist with directly observed therapy (DOT) for Hepatitis C medication.
  • Attends case conferencing with Montefiore providers as required
  • Serves as primary liaison with Montefiore Medical Center, ensuring partnership remains vital and productive.

Data and Reporting

  • Leads monthly reporting effort for all clinical sites, in addition to collecting and synthesizing reports from all clinic staff
  • Ensures all services are thoroughly documented and submitted to the Data Department in a timely fashion
  • Assists with data entry into Welligent; monitors service provision via Welligent
  • Monitors service targets across contracts and support staff to achieve targets as assigned

Personnel Management

  • Oversee posting of clinic employment opportunities; supports hiring, onboarding and training of new hires.
  • Coordinate Epic and Welligent trainings for all medical staff, ongoing skill building within the Epic and Welligent systems, and conducts registration of patients through Epic when needed.
  • Coordinate other trainings for medical staff as needed including point-of-care testing, HIV and HCV rapid training, wound care.
  • Provide supervision of clinic staff conducting monthly individual supervision sessions to ensure a high quality of care if being delivered and service targets are being reached.
  • Ensure appropriate staff coverage of clinic hours at each site; oversee scheduling, time off requests, coverage planning, and timesheets.
  • Attend meetings and trainings as directed.
  • Review and edit department staff timecards.
  • Perform other related tasks and responsibilities as assigned.

Qualifications

  • At least 4 years’ experience working in community health with marginalized populations preferred. Including HIV positive individuals, active drug users, unstably housed individuals, sex workers or formerly incarcerated individuals.
  • Experience working in Epic and Welligent EHR an asset.
  • Experience managing direct reports with diverse skillsets and abilities is essential.
  • Strong program development and implementation skills.
  • Current CPR/AED certification required.
  • Must be detail orientated and able to multitask in a high paced environment.
  • Must be comfortable deescalating conflict.
  • Maintains respect and compassion for all clients being served, regardless of their active drug use or treatment compliance.
  • Commitment to harm reduction and social justice as it pertains to individuals who use drugs or engage in sex work in a multi-cultural, multi-racial environment, in a non-judgmental way.
  • Bilingual (Spanish) strongly preferred.
