The Operation Associate will play a pivotal role in supporting the daily operations and functions of OnPoint NYC’s East Harlem location. The Operations Associate will provide critical assistance and support to the Director of Operations. The Operation Associate will lead in organizational scheduling, communications, mail distribution, and building-based event management.
Reports to: Director of Operations Direct Reports: Building Coordinator Annual Salary: $45,000 -$50,000 Position Type: Full Time Schedule: Monday through Friday, 8:30am-4:30pm.
Responsibilities
Schedule internal and external meetings in partnership with the Director of Operations
Manage the scheduling of organizational tours in partnership with the Program Coordinator
Lead efforts to update the organization’s Operations Handbook annually
Manage the [email protected] email address and general organizational inquiries
Share email inquiries with the appropriate department to ensure timely responses to all requests
Manage the scheduling of building-based events
Update the organizational calendar regularly
Coordinate and liaise between all organizational departments requesting rooms for programmatic and organizational needs
Create monthly schedules and flyers for participant groups
Manage cross-departmental communications around organizational and operational changes
Draft internal and external correspondence including letters, emails, and memos
Coordinate with the Facilities team to ensure timely reporting of repair and maintenance needs throughout the building
Provide operational support in contacting vendors, scheduling inspections and repair work, etc.
Support in updating policies and procedures surrounding participant flow through the building when accessing various programmatic services
Supervise the Building Coordinators and manage the prioritization and quality of their tasksincluding:
Mail sorting and distribution
Call log management
Participant flow throughout the building
Guest sign-in and escorts
Lost and Found management and log
Perform other related task and responsibilities as assigned
QUALIFICATIONS
Proficient in MS Office Suite and SharePoint; knowledge of Excel
Commit to serve the community and ensure a space for all participant in our programs
Must have professional call etiquette and basic knowledge of telephone equipment
Ability to work independently with minimum supervision
Ability to successfully manage multiple tasks/goals and time
Exhibit strong organizational skills
